Seats and team management

A seat is a person on your roster. Inviting, removing, and seat counting all happen in one place, and the seat count is what your plan is sized against.

What counts as a seat

A seat is any active member of the salon, the owner included. Ten seats means ten people, not ten stylists plus a free owner. Managers count too.

If your salon is part of a multi-location group, the group draws on one shared pool instead: seats are counted as distinct people across all your locations, so a stylist who works Tuesdays at one shop and weekends at another counts once, and so do you. See Multi-location salons.

The Team page shows "X of Y seats used" above the invite buttons, with "across your locations" added when the pool is shared.

Inviting someone

  1. Open the Team page and choose Invite a stylist. (Only the owner sees Invite a manager.)
  2. A code appears in the list of live codes with its role and expiry.
  3. Hand it over however suits you — Copy code, Copy link, or Show QR for people to scan at a staff meeting.

The new stylist downloads Embrly, signs in with a magic link, and enters the code on the Join screen — or opens your link, which carries the code for them.

Codes expire after 14 days. A live code is a working key to your salon, so the Team page lists every outstanding one and lets you Revoke any of them, Revoke & make a new one, or Revoke all at once. Revoking is immediate, including for a code someone is about to scan.

What a seat includes

A seat is the whole app for that person: weekly themes and nudges, before/after capture with client consent, AI captions on the salon's monthly pool, their streak and participation, kudos, their public page, and the Craft Book. Stylists also get personal AI generations that aren't drawn from the salon's pool.

Their content is theirs. Captures and portfolios belong to the stylist, not the salon — removing someone from the roster never deletes their work, and it follows them if they move to another salon.

When the pool is full

Redeeming an invite is blocked once the pool is full, so a code you handed out simply won't work. The Team page warns you before that happens — you'll see "One seat left" or "2 seats left", and at capacity an Add a seat button that takes you straight to the seat controls. Two ways out: add a seat, or remove someone below.

Seat limits only apply once you have an active or trialing subscription.

Adding and reducing seats

Seats are managed by the owner on the web, in Settings → Billing. Every plan above Solo includes a number of seats and sells extra ones on top; the per-seat price depends on your tier — see Plans and pricing.

Adding a seat is instant. You're charged right away for the rest of the current month, prorated, and the seat is usable the moment it's added — invite someone straight afterwards and their code will redeem. Extra seats bill monthly from then on, even if your base plan is annual.

Reducing seats takes effect at your next renewal. There's no refund for the month you're in — you keep the seats you've paid for until the period ends, and the lower count starts billing from the renewal date.

Reducing the count never removes anyone. Nobody is pushed off the roster and nobody loses access; a lower seat count only limits how many new invites can be redeemed. If you need to actually take someone off, remove them below.

Removing someone

Use Remove on their row, then confirm. Removal deactivates the membership — it doesn't delete the person or their work, and it frees the seat.

Who can remove whom:

  • The owner can remove managers and stylists.
  • A manager can remove stylists only.
  • Nobody can remove the owner, and nobody can act on their own row.

For stylists

If you're on a team, your plan and seats are managed by the salon owner — Settings → Billing will tell you exactly that, and there's nothing for you to buy. If you sit on more than one salon's roster, that's supported: switch between them with the location switcher on Home.
